Real estate lead response guide
A practical guide for property teams: capture the enquiry, keep the requirement attached, assign clearly, and follow through to the next visit or conversation.
Property enquiries arrive from portals, ads, WhatsApp, walk-ins and referrals. The risk is not only a slow first reply. It is losing the requirement, the promised visit, or the person who was supposed to continue the conversation.

Use this as an operating guide for the first hours and the first few follow-ups. It is educational, not a claim that every field is extracted automatically or that every portal is a native LeadArivo integration.
Capture the enquiry once
When a buyer or tenant reaches you, the record should hold the original message, the source, and the time it arrived. If the same person later messages on another channel, continue the same lead instead of opening a duplicate that has no history.
Requirement details worth keeping together
- Location or project interest
- Budget range, if shared
- Configuration or property type
- Visit intent or timing
- Which Assignee has the next step
Respond with the context you already have
A useful first response acknowledges the property interest and the details already given. Asking the buyer to repeat the locality, budget and configuration in a new form slows the conversation and signals that the enquiry was not held.
Assign before the trail goes cold
If several agents can take the lead, decide who is assigned. Unassigned property enquiries often receive a first template reply and then nobody books the visit. Publish the Assignee on the same record as the requirement.
Treat the site visit as a follow-up object
A requested or offered visit is a next step with a time. It should not live only in a personal calendar. If the visit moves, update the lead. After the visit, record the outcome and the next contact so the enquiry does not disappear into “we will see.”

Keep follow-up on the same journey
Later WhatsApp chat does not replace the original source, and a new portal enquiry from the same number should not wipe the requirement you already captured. Continue the journey on one record whenever you can identify the same person.
Review what is waiting
- New enquiries with no owner.
- Replied leads with no dated next step.
- Promised visits that have no outcome.
- Quiet leads that still have an open interest.
